DECALS Issuing Agent: New York State hunting and fishing licenses are available for purchase. Fees charged are set by the State.
Dog Licensing: Issues dog licenses for dogs over 4 months of age as required by New York State Law. All dogs must have proof of current rabies vaccination on file in the clerks’ office and the fees are $10.00 for a dog that is spayed or neutered or $20.00 for dogs that have not been altered. A $5.00 late fee is charged for any dog that is not relicensed within its renewal month.
Filing Officer: All local laws, oaths of office, affidavits of publications, resignations, petitions, annual budgets, fiscal reports, assessment rolls, bonds, and other pertinent town documents are filed in the Town Clerk’s Office.
Handicapped Parking Permits: These permits can be obtained by providing the Clerks Office with an application completed by a doctor. Most doctors have these forms available upon request and the Clerks’ Office has copies available for residents.
Notary Public: The Town Clerk is a notary public and is available during regular business hours. When this service is requested, proper identification is required such as a driver’s license, passport, etc.
Recording Secretary to the Town Board: The Town Clerk or Deputy Clerk attend all Town Board meetings and author the minutes, which are retained permanently for legal and historic purposes. The official sign board for the town is maintained by the Town Clerk and all identified meeting dates are posted on the sign board.
Records Access Officer: Freedom of Information Law (FOIL) requests must be in writing to the Town Clerk and are administered by the town clerk.
Records Management Officer: The Town Clerk is custodian of all permanent town records and provides for the storage, retrieval and disposition of records for all departments of the town. The New York State Record Retention and Disposition Schedule (MU-1) is used.
Registrar of Vital Statistics: Marriage licenses are available for a fee of $40.00. The Town Clerk and Deputy Clerk are NYS Registrars and are responsible for keeping a permanent record of births and deaths that occur within the boundaries of the town along with any marriage licenses that are applied for at our office. Birth, death and marriage records are not open for public inspection. Genealogical research of records shall be conducted by the Town Clerk and Deputy Clerk only. Tax Collection: The Town Clerk and Deputy Clerk are tax collectors for the Town and County. They disburse the monies to the appropriate financial officers for the County and Town of Denmark. The collection period for Town and County Taxes is from January 3 – May 31, 2011.
Zoning: Zoning and planning forms are available at the Clerks Office. Fees are collected as set by the Town Board.
The Town Clerk also performs other duties for Town Departments such as ordering general office supplies, submitting press releases and legal notices, preparing abstracted bills for monthly audit by the Town Board and processing and distributing incoming mail addressed to 3707 Roberts Road, Carthage, NY 13619.
